Job Description
  • Mainpurpose of position : Manageday to day office admin works, The position will be responsible for providing admin support toprojects, HR and Finance functions
  • Finance
  • Verifying all admin/project related invoices and processing for approval by the Director (eg couriers, refreshments, project invoices)
  • Service Delivery
  • Provide PA support to Directors including diary management
  • Assist in document production, reports, presentations, letters etc, (proficient in Microsoft Excel, Word and PowerPoint)
  • Arrange internal/external meetings and events and all the related logistics
  • Regular liaison with the team to assist with daily workload
  • Provide document generation, formatting and presentation support (eg.

    reports, letters, Power Point presentations)
  • Assist the team in terms of project filing, using the standard structure
  • Assist the Director(s) in collating monthly reports, sending e-mail reminders to the team where appropriate
  • Photocopy, printing & binding documents
  • Assist with marketing research when required
  • T&T contacts and marketing database champion
  • Updating BD tracker, meeting schedules, case studies etc regularly as well as when required
  • Client interaction for submission/ collection of documents, invoices, payments as & when required
  • Manage stock of IT equipments
  • Provide induction to new staff on IT systems including lotus notes & T2
  • Human Resource/ Administrative
  • Assistance with the new starter process (eg ordering laptops, business cards and mobile phones)
  • Arrange meetings including booking rooms, notifying attendees, organizing lunches and providing refreshments as appropriate
  • Local travel & accommodation for visiting staff as & when required
  • Follow up with staff for filling of time sheets
  • Operation & maintenance of printers & other equipments
  • Maintaining stationary & other office supplies
  • Arrange couriers & assist with incoming & outgoing mails
  • Assisting the team in non technical matters e.

    g data entry as & when required
  • Coordination with other departments including HR/ IT/ Finance
  • Coordinating & managing CSR activities
  • Environment PolicyShould adhere to the company's global environmental policy
Qualifications
  • Education - Graduate from any stream
  • Candidate should have relevant experience of working preferably for PMC's, having a graduate degree with excellent communication skills
  • Up to 5 years work experience with demonstrated career growth graph
